Administrative Assistant

A prominent healthcare organization is seeking a highly skilled and proactive Administrative Assistant to provide comprehensive support to mid to senior-level managers. This is an excellent opportunity for an experienced professional to contribute to a dynamic and complex environment, often involving direct interaction with customers and executives.

Position Details

  • Job Title: Administrative Assistant
  • Location: 100% Onsite at 8250 Woodman Ave, Panorama City, CA 91402
  • Compensation: $25.00 - $27.00 per hour, Depending on Experience (DOE)
  • Travel: Minimal, up to 5%

Role Overview

The Administrative Assistant will play a vital role in ensuring the smooth operation of daily administrative functions, providing critical support to multiple leaders. This position requires a proactive individual who can manage diverse tasks, communicate effectively, and maintain a high level of organization in a fast-paced setting.

Top Responsibilities

  • Leader Support & Coordination: Coordinating and ensuring multiple leaders are supported with calendar management and meeting arrangements.
  • Team Cross-Coverage: Providing cross-coverage for team members to support other senior leaders.
  • Member Interaction: Managing a member-facing window and providing direct guidance to members.

Key Responsibilities (Comprehensive)

  • Supports one or more mid to senior-level managers.
  • Performs complex administrative activities including managing projects, composing letters and reports, and preparing/editing presentations.
  • Recommends or makes purchase decisions.
  • Provides assistance and training to other administrative staff; may supervise other staff.
  • Maintains frequent and continual contact with customers and executives.

Required Qualifications & Skills

  • Experience: Ideal candidate will have 5+ years of experience as an executive assistant.
  • Education: High School Diploma or GED required; Bachelor's or Associate's degree preferred.

  • Specialized Knowledge (Optional): May possess specialized industry skill/knowledge or knowledge of foreign languages.

Specific Systems Knowledge

  • Required: Microsoft Word, PowerPoint, Microsoft Teams, Outlook.
  • Preferred: General Microsoft package proficiency.
