Responsibilities of the Administrative Assistant:

  • Maintain and coordinate executive calendars, schedule meetings, and arrange travel plans
  • Draft and manage professional correspondence, follow-ups, meeting minutes, and agendas
  • Prepare and organize reports, presentations, and documents for internal and external use
  • Act as the front-line representative for guests, calls, and visitors to the office
  • Order and manage office supplies and equipment inventory
  • Coordinate company-wide meetings, staff events, and off-site functions
  • Oversee incoming and outgoing mail, courier services, and postage accounts
  • Ensure the cleanliness and organization of communal office spaces
  • Handle local errands such as check pickups, material deliveries, and mail drops
  • Assist with team logistics and ad hoc administrative tasks
  • Support expense tracking, receipt coding, and reimbursement processing
  • Assist with light project coordination, internal research, and cross-team support

Qualifications of the Administrative Assistant:

  • An associate's or bachelor’s degree is preferred
  • At least 5 years of experience in an administrative or executive support role
  • Background in professional services, construction, or engineering environments is a plus
  • Proficiency in Microsoft Office Suite, Google Workspace, Adobe Acrobat, DocuSign, and scheduling platforms
  • Reliable transportation is required for local errands
  • Strong communication, organizational, and multitasking abilities
  • Professional demeanor and ability to handle confidential information with discretion
